AUS Student Housing

Welcome, new & prospective students!

Are you one of those students who will be coming to live in AUS Residential Halls for the first time? Well, you are at the right place to get your answers.

We know from experience that the initial period of coming to a new place to live, and for most, the first experience out of home, may be stressful. Our job is to make your life easy, reduce any apprehensions and make it a seamless change from home to the residential halls.On this page we hope to provide the basic information. So here it goes..

How to apply?

Most prospective students get in touch with AUS Admissions department, this is normally their first point of contact for admission into AUS.

Admissions will forward all the forms required for your seat as well as the one for Residential Halls Department on your request. In case you did not receive the printed Housing Application form, please click on the following web link to obtain the required web copy : Residential halls forms

Please send the filled housing application back with the other forms to AUS admissions or mail the Housing Application form to Residential Halls Department, P.O. Box 26666, American University of Sharjah, Sharjah, United Arab Emirates. Also ensure all necessary pre-registration fees have been transferred to AUS.

On receiving your form we do the following checks at our end before we proceed with assigning a room for you:

  1. Your have reserved a seat at AUS in a full time course by paying the required seat reservation fee
  2. You have arranged sufficient funds for the required Dhs. 500 room preregistration fee (as confirmed by AUS Student Accounts)

Note:

  1. A refundable room maintenanace deposit of Dhs. 1000 will be required prior to check-in. This will be refunded upon final check-out from Residential Halls and subject to any deductions due to missing or damaged items.
  2. Non-resident AUS students , who want to apply for a room in the residential halls,are required to deposit dhs. 500 room reservation fee as well as the Dhs. 1,000 room maintenanace deposit and then submit the housing application form to Room Assignment office room A258, first floor Student Center Building.
  3. Resident AUS students, who want to renew their housing agreement, will only be required to apply through Banner Self-service system on-line during specific periods. The period of applying and the deadlines will be announced in the dormitories by the residential halls management.

Important :

  1. Receipt of housing application by us does not guarantee a room in the dorms and is subject to availability.
  2. Transferring required fee without a filled housing aplication form is not sufficent to reserve a room;a filled housing application form is a must.
  3. We will process your application on first-come-first-served basis

How to find out which room has been assigned ?

Once you are assigned a room in AUS residential halls for Fall or Spring semesters , an e-mail confirmation is sent to your AUS e-mail address. In case of rejection of your application , a self explanatory e-mail is also sent .This confirmation or rejection is not sent at the time of receiving your application but when most rooms have been assigned for the semester.

What is the Curfew policy and Leave Form ?

The AUS residential halls have a curfew policy for all resident students. This requires students to be in their residential hall by 12 midnight on weekdays (Sunday to Wednesday) and 1 a.m. on weekends ( Thursday to Saturday).This is one of the important policies and we encourage all residents to adhere to this for their own benefit.

You will find a Leave Form enclosed with your Housing Application, this has to be filled by the parent/guardian and allows the resident student to stay overnight , outside the dormitories during weekends and public holidays. It is important to note that the student when leaving the dorm for the weekend or public holiday signs out with the Dorm Supervisor and signs in when he returns back.

Which Residential Hall to choose from?

Currently the Residential Halls consists of twelve dormitory buildings. Eight for male and four for female students.Most of the buildings have similar construction consisting of two inter-connected buildings on two floors (Ground and First floor).

The exception to the above is Dorm CD Men which has different type of rooms as explained below and EF Men which is a single storied Dorm ( Ground floor only).

What room types are available?

The three main types of room configurations are :

  • Private Room - This is a single occupancy room with its own bathroom and kitchenette
  • Semi-Private room- This is a single occupancy room but the bathroom and kitchenette are common with an adjoining student room. The room entrance door opens into the common area for access to the bathroom, kitchenette and the dorm corridor
  • Sharing – This room is configured for two occupants and has one bathroom and kitchenette. This is a single entry room for two students to share

The two other types of rooms only available in CD Men dorms are :

  • Single – A single occupancy room without a bathroom or kitchenette. Instead, the occupant uses the common bathroom and Kitchen for the residents of one floor, in one block of rooms
  • Double – A dual occupancy room without a bathroom or kitchenette. Instead, the occupant uses the common bathroom and Kitchen for the residents of one floor, in one block of rooms

What are the room rates and other payment prerequisites?

  1. All new applicants are expected to submit a non-refundable pre-registration fee of Dhs. 500 along with their Housing Application.
  2. A refundable Room Maintenance Deposit of Dhs. 1000 is also required prior to checking in to the dorm. This is refunded at the time of final cancellation from the AUS dorms and is subject to deductions of any dues including damage or loss of room assets.

How and when to pay

AUS Student Accounts handles all the payment processing and provides a number of options to transfer required funds. Kindly visit their web page Finance Department.

The payment schedules are also announced by Student accounts for new and existing students.

Check-in and Check-out procedure

Check-in:

Once you have received the room assignment notification, you can check-in by the dorm opening date, for that particular semester/session. On arriving at the dorm, approach the Dorm Supervisor on duty . The Supervisor will confirm your identity and then hand over to you the room key ( an electronic access key) . You will then be provided with a check-in form that needs to be signed by you . Comments about the condition of the room or furniture can be noted on this form and then confirmed by the Dorm Supervisor for future reference.

If you fail to check-in prior to the first day of classes, Residential Halls is authorized to cancel the room assignment unless we have received a written notification, in advance, informing us of any delay in arrival. Notification of late arrival can be sent to our e-mail : res-hall@aus.edu or fax +971 6 515 2294

Check-out:

For check-out, you will have to go to the dorm supervisor, making sure you provide enough time to complete the process . This requires checking of the room condition and then receiving the room access key as well as completing the documentary procedures. Please also ensure that you state clearly whether you want to cancel your room assignment completely or just checkout . Removal of all your belongings is required in case of cancellation.If you intend to return please coordinate with the dormitory supervisor for storage of your belongings. We strongly instruct that you take all your valuables at the time of checkout. AUS and Residential Halls will not be responsible for any of your damaged or missing items that are left in the room or in the storage areas.

Refund policy for Canceling or withdrawal from a room assignment

To cancel your housing application prior to checking in, please send a fax to Residential Halls Office on +9716 515 2294 or an e-mail from your AUS e-mail address.You can also personally visit our office to do the same.

As explained above, the Dhs. 500 pre-registration fee for new students is non-refundable.

For returning resident students or non-resident AUS students , if the cancellation of their application is requested after the deadline announced by Residential Halls , then a room reservation validation fee of Dhs. 500 will be charged.

Withdrawal after Checking into the room requires that either the student cancels the room in person by approaching the Dorm Supervisor or by sending a fax to Residential Halls Office on +9716 515 2294 ( e-mail from your AUS address is also acceptable)

The withdrawal after checking in results in charges which are deducted from the full room fee based on date of withdrawal as shown below.
