5. Archiving and Binding of Masters’ Theses at AUS

After you have passed your oral examination (defense) and have received your thesis certification form from the Office of Graduate and Undergraduate Programs, you should submit two hard copies of your thesis, along with an electronic copy in PDF format, to the AUS Archives for binding and archiving.

It is AUS policy to preserve masters’ theses in the AUS Archives and to make theses available to other students and scholars.

Here are the procedures for submitting masters’ theses to the AUS Archives.

You must submit two unbound copies to the AUS Archives along with a copy of the certification form from the Office of Graduate and Undergraduate Programs.

  • One copy will be left unbound and will be preserved in the AUS Archives.
  • The second copy will be bound and will be available in the AUS Library as a reference copy.
  • Additional copies of the thesis can be bound for your personal use and may be required by your specific graduate program. Check with the graduate program director for the specific requirements your graduate program has for bound copies.

Copies presented to the AUS Archives should have the following specifications:

  • They should be printed copies and not photocopies.
  • Paper should be on white, A4, un-punched high-quality paper.
  • Prints are one sided with 1.5 lines spacing.
  • Copies should include approval pages with original signatures.
  • The electronic copy should be in the format of a PDF file.

You will pay binding fees at the Cashier’s Office and present a receipt to the AUS Archives.

Please note that the "Archive Hold" placed on students' records will not be removed unless the above procedures are followed.

Consent form: Upon submitting the thesis, you will be requested to sign a consent form permitting researchers to have access to your thesis. The form is then retained with the thesis in the AUS Archives.

 

Withholding your thesis from the AUS Archives/Library: Occasionally, you and your thesis supervisor may want to preclude public access to your thesis due to unusual circumstances. For example, public access to your thesis may disclose patentable rights before a patent can be granted, or perhaps your thesis includes information that would cause harm if disclosed.

The Director of Graduate Programs and Research may, under substantiated circumstances of the kind indicated above, and with the endorsement of and an explanatory letter from the student’s thesis supervisor, permit the thesis to be withheld from the Library.
