The Senior Administrative Assistant is responsible for providing support to ensure the smooth operation of an office. This role involves handling administrative tasks, managing communications, organizing schedules, and maintaining records.
Job Responsibilities
- Oversee general administrative duties for the Associate Dean
- Process student petitions, including transfer requests from other AUS colleges, grade appeals, final exam conflicts, and course requests.
- Schedule classrooms each semester and upload room reservation data.
- Manage and assist in preparing the semesterly teaching schedule.
- Handle book orders for each semester and request desk copies for faculty from publishers.
- Organize and maintain course file.
- Address student academic integrity violations.
- Facilitate pre-registration and registration processes.
- Prepare materials for course evaluations.
- Respond to general student inquiries.
- Compile and maintain historical data.
- Oversee and coordinate room reservations.
- Prepare Course Approval Form details, including course attributes.
- Collect, store, and archive course syllabi, ensuring proper upload to the server.
- Advise students on registration, transfers, student exchanges, and study abroad programs.
- Assist with the orientation of new students.
- Coordinate final exam scheduling.
- Verify faculty teaching loads.
- Support the Associate Dean in preparing statistical reports.
- Organize and facilitate sessions for major declaration processes.
- Collaborate with student organizations.
- Processing of student timesheets.
Qualifications and Skills Required
- Bachelor’s degree in business or any subject area relevant to the college
- A minimum of 3–4 years of work experience in an academic environment, preferably in higher education administration.
- Customer service & interpersonal skills.
- Organizational & time management Skills.
- Problem-solving & critical thinking.
- Attention to details.
- Adaptability & flexibility.
- Office Software Proficiency, good with (MS Word, Excel, Google workspace),
- Email and calendar management.
- Data management & reporting.
- Use of INB and native banner.
