Position Summary
The Career Design Lab (CDL) Assistant will support Senior Manager Career Design Lab in administration of career services, the official internship program, career-related events, social media, and executive education programs.
Job Responsibilities
- Handle the career services and internship processes via the assigned information systems (CDL App – JotForms, Google Forms, iLearn, email, AUS Career Portal).
- Support with the internship courses on iLearn, including interaction with the IT team for course creation.
- Assist with requests for course creation on Banner through the Registrar’s Office. Interact with the Registrar’s Office regarding students’ internship registration.
- Post job and internship announcements and track applications. Source more information about the jobs via communication with the employer, if necessary.
- Manage communication (emails, calls, and office hours) and administrative tasks for students and employers before, during, and after their internship.
- Monitor, track, and consolidate internship submissions (reports, assignments, etc.) and evaluations from students and employers for grading. Prepare the grading lists to be sent for evaluation.
- Administer employer career-related events, including scheduling, creating, and posting announcements for students, communicating with employers, arranging campus access, and coordinating on-site room arrangements.
- Track events and other data related to the office as required for reporting.
- Consolidate data through Excel and other data analytics tools as required for reporting.
- Post on the CDL Instagram account and revise the CDL’s website information.
- Assist with the revision, on-site administration, and organization of the executive education programs, including but not limited to: on-site attendance during the program classes (including weekend classes), collection of attendance, reservation and preparation of the classroom and any relevant space, communication with program instructors, consolidation of evaluation forms, and general document filing and reporting for each program.
- Carry out communication and administrative tasks relevant to the office, as required by SBA stakeholders and employers.
Qualifications and Skills Required
- Bachelor’s degree in business or any related field.
- Minimum of 1 to 2 years of work experience in an academic environment.
- Experience in organizing networking activities
- Knowledge of internship, placement, and career management
- Proficiency in Microsoft Excel.
- Knowledge of data analytics and visualization tools.
- Familiarity with social media platforms for professional use.
- Experience using systems and platforms related to internship and placement processes.
- Demonstrated ability to work independently and as part of a team, while meeting tight deadlines.
Preferred Qualifications and Skills
- Higher education administration experience
