The Department of Psychology at the College of Arts and Sciences is looking to hire an Administrative Assistant to provide essential administrative and clerical support to the academic department, ensuring smooth day-to-today operations. The role involves handling communications, scheduling, record-keeping, and coordinating departmental activities while assisting faculty, students, and university administration. This position plays a crucial role in maintaining the efficiency of the department and ensuring compliance with university policies.
Job Responsibilities
- Communicate effectively with CAS students and assist them in understanding academic rules and policies.
- Answer department phone and email inquiries and serve as the department help desk.
- Manage and organize departmental files, records, and documents, ensuring efficient filing systems.
- Schedule meetings, prepare agendas, record minutes, and maintain the department’s calendar.
- Enter requisitions and maintenance requests into the university system.
- Facilitate scheduling and registration.
- Compile data and prepare statistical reports as required.
- Coordinate communication between faculty, students, and administrative offices.
- Handle student inquiries and provide administrative support for academic programs as applicable.
- Process paperwork related to faculty, staff, and student requests.
- Maintain and update departmental databases and reporting systems.
- Support event planning and execution for departmental activities.
- Liaise with university administration for procurement, HR, and financial matters.
- Ensure compliance with university policies and procedures in administrative tasks.
- Maintain strict confidentiality when handling sensitive information.
- Perform other secretarial and administrative duties as needed.
Qualifications and Skills Required
- Bachelor’s degree in business administration, office management, or a related field.
- Strong organizational skills and excellent time-management abilities.
- Excellent communication skills in both English and Arabic.
- Strong interpersonal skills with a professional and service-oriented approach.
- Ability to handle multiple tasks efficiently in a fast-paced environment.
- High level of professionalism and discretion in handling confidential information.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and the like).
- Good knowledge of Microsoft Access and data entry systems.
- Familiarity with university management systems (such as Banner, Fusion or similar platforms) is a plus.
- Ability to manage and maintain digital records and databases.
