The Program Coordinator is primarily responsible for producing high-quality written reports, briefings, and institutional documentation in support of the Office of Advancement and Alumni Affairs. Beyond this core writing and reporting mandate, the role provides operational and project coordination support, manages cross-functional strategic initiatives, and serves as the Club Liaison and Coordination Lead for the AUS Alumni CEO Club. The coordinator ensures leadership has timely, accurate, and well-structured output while enabling senior staff to focus on strategic engagement and decision-making.
Job Responsibilities
- Writing & Reports Production — Primary Responsibility
- Draft, edit, and produce high-quality institutional reports, leadership briefings, progress updates, and official correspondence.
- Produce consolidated reports and structured documentation for senior management, committees, and external stakeholders.
- Synthesize complex information from multiple sources into clear, accurate, and well-structured written outputs.
- Ensure all written deliverables meet institutional standards for tone, accuracy, and governance compliance.
- Maintain a consistent documentation trail for all reporting cycles, including timelines, trackers, and follow-up records.
- AUS Alumni CEO Club — Liaison & Coordination
- Lead coordination for the AUS Alumni CEO Club: organize and coordinate meetings, including scheduling, preparing agendas, and taking minutes.
- Maintain accurate records of all club activities, including membership lists and meeting notes.
- Facilitate communication among club members, ensuring the distribution of relevant information.
Qualifications and Skills Required
- Bachelor's degree in Mass Communications, International Relations, Business Administration, Project Management, or a related field.
- Exceptional written communication skills, with a proven ability to produce polished institutional reports, briefings, and professional correspondence.
- Excellent organizational and time management skills with the ability to manage multiple priorities effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project tracking or office management software.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills with the ability to work collaboratively in a team environment.
- Adaptable and capable of working under deadline-driven, cyclical project demands.
- Attention to detail and commitment to documentation accuracy and governance compliance.
- Demonstrated experience in producing institutional reports, written briefings, or professional documentation; background in administrative coordination or project support is also required.
Preferred Experience
- Experience in higher education or advancement/alumni affairs environments is an advantage.
