The Office of the Registrar provides the following services:

  • verifying and issuing of official transcripts
  • certifying student enrollments
  • confirming the awarding of degrees and managing the registration process
  • maintaining and providing the timely and accurate official records of the academic progress and accomplishments of the university's students

Final Examinations

Final examinations are administered as per official final examination published by the Office of the Registrar on the AUS website.

Final Examinations Schedule
Tardiness

If an instructor allows a student who arrives late for a final examination to take the examination as scheduled, no additional time beyond the period scheduled by the Office of the Registrar will be provided.

Maximum Number of Exams

If a student is scheduled for more than two examinations in one day, more than three examination in two consecutive days, or has a time conflict with common examinations, then the student must report to his/her associate dean by the end of the 11th week of classes to make the necessary adjustments to his/her schedule

Illness Prior to and During Final Examinations

Students are responsible for taking final examinations during the period scheduled by the Office of the Registrar. If an incapacitating illness prohibits taking a final examination, the student must notify the Associate Dean of the student’s home school/college and provide complete documentation to University Health Services (UHS) in advance of the scheduled examination.

Students who begin a final examination are expected to complete it unless a sudden and incapacitating illness requires urgent medical attention. A student whose condition is so serious that medical care is necessary must report immediately to UHS.

If UHS determine that the medical condition prior to or during the scheduled examination period is serious enough to render a student incapable of taking or completing the examination then, based on the recommendation of UHS, the relevant Associate Dean will determine whether a make-up examination can be completed as per the make-up examination schedule or an I grade should be awarded and the make-up examination should be scheduled at the beginning of the next semester or summer term.

The opportunity to complete a make-up examination will not be provided if compelling medical evidence indicates that taking or completing the examination was an option.     

Failure to Appear for a Final Examination

A student who fails to appear for the examination, will not be permitted to take the examination unless the Associate Dean of the school/college responsible for the course determines that extraordinary circumstances exist and a make-up examination is warranted. 

Transcripts and Degree Attestation

Transcripts and Letters

To get a copy of your academic transcript and/or request a letter, please contact [email protected] . Transcripts and letters are released only with the signature of the student concerned. A nominal fee applies.

Degree Attestation

If you need to have your degree attested by the UAE Ministry of Education, you must follow the procedures outlined on the ministry's website. All transactions concerning the attestation of the documents and qualifications issued by private higher education institutions in UAE should only be delivered to the Ministry of Higher Education and Scientific Research in Abu Dhabi through the offices of Empost.

Transfer of Credits

Applicants admitted to AUS undergraduate studies who have completed IB Higher Level, GCE A-Level, the Lebanese Baccalaureate, the French Baccalaureate, the Spanish Baccalaureate, the German Abitur or the American Advanced Placement tests may be awarded credits for freshman-level courses. Qualified applicants must meet the Advanced Standing Credit Transfer Policy.

Applicants admitted to AUS undergraduate studies as transfer students are eligible for transfer credits evaluation. The complete transfer policy is available from the Office of Enrollment Management / Undergraduate Admission.

Advanced standing and transfer students may be exempted from taking certain placement tests depending on subjects/courses completed and grades earned.

Deadlines
  • February 5-15, 2024: Submit an Application for Graduation through pulse.aus.edu (information has been sent to your AUS email)
  • February 22, 2024: Deadline to order for graduation regalia and rings (information will be sent to your AUS email)
  • March 25, 2024: Deadline to submit the first draft of the commencement speech
  • April 15, 2024: Deadline to submit the final draft of the commencement speech for those who will be shortlisted
  • May 8, 2024: Speech audition for the last five finalists
  • June 4-6, 2024: Distribution of commencement tickets 
  • June 6, 2024: Class photograph: Gather at the AUS Plaza by 8:45 a.m. with graduation regalia
  • June 6, 2024: Commencement rehearsal, University City Hall at 10:00 a.m. 
  • June 8, 2024:  Commencement, 10:00 a.m. and 3:00 p.m., University City Hall
Date and Time of the Event

The event is expected to take place on June 8, 2024 at University City Hall, Sharjah in the following designated groups:

  • All PhD and master’s degree candidates from across the university, and all CEN bachelor’s degree candidates will be honored in a ceremony taking place at 10:00 a.m.
  • All bachelor’s degree candidates from CAAD, CAS and SBA will be honored in a ceremony taking place at 3:00 p.m.

Graduating students will only be able to participate in their designated session.

Taking Part in the Event

Graduating students will need to arrive at University City Hall one hour prior to the scheduled start of their ceremony. PhD and master’s students should proceed to the ground floor, while all undergraduate students should proceed to the mezzanine floor to collect name cards and wait there to be ushered into the hall.

Commencement Speech

AUS is seeking an undergraduate senior student graduating this semester to speak at the commencement ceremony on June 8, 2024. The university strongly encourages you to participate in this memorable event. If you would like to speak at this event, please submit the first draft of your speech to Dr. Nawar Golley (LAN 232) or by email to [email protected] by March 25, 2024. Anyone who submits a speech is free to consult with Dr. Golley and rewrite the speech. The deadline to submit the final draft for those who will be shortlisted is April 15, 2024. The speech should last no longer than 5 to 7 minutes (about 1,000 words). If you have submitted your commencement speech and you do not received notification that you are among the finalists, you can assume that your speech was not selected. There can be many reasons for a speech not being selected, such as a lack of a clear, unifying theme; language errors; or simply an overabundance of excellent speeches.

Guidelines for Commencement Speeches

  • Graduation is a formal occasion and your speech should reflect this. An informal, chatty tone that might work well for an after-dinner speech is not appropriate for a commencement address.
  • Your speech should have a unifying thesis and your ideas should be listed in a clear logical order. Do not simply thank people. You should express ideas that will help your classmates with the challenges they will face after graduation.
  • You should have control over spelling, sentence structure and mechanics. Your paper should not, for example, contain grammar errors or sentence fragments. Many people will be reading the text of your speech.
  • Avoid cliché metaphors and mixed metaphors. Do not write, “We were like seedlings who flourished in the fertile soil of AUS and now we are ready to spread our wings and fly.” (Are students plants or birds, and is either comparison flattering to the intellectual abilities of the graduates?) And please do not compare life to a journey.
  • Avoid passive voice constructions, vague adjectives (marvelous, incredible), and indirect phrases (in terms of). All of these can make your writing wordy and unclear. If in doubt, check a grammar handbook about wordiness.
  • Be specific. Instead of saying that many challenges await the graduates, give examples of some of these challenges.
  • Remember that you are speaking for all the graduates, not just for yourself.
  • Hand in your draft as early as possible so that the supervising professor can advise you about correcting and improving the speech. If you wait until the day the speech is due, the professor cannot help you.
  • Finally, do not simply string together a series of “inspiring quotes” culled from websites. Anyone can cut and paste. A good speech reflects your own thoughts, not someone else’s. Please avoid quotes unless the quote is something that you read in context and that means something to you personally. Then it should be central to your speech.

The committee will choose five finalists from the drafts submitted, who will then be invited to audition their speeches on Wednesday, May 8, 2024 at 3:00 p.m. The selected student will deliver his or her speech at commencement.

Guests

Each graduating student is invited to bring three guests to the event. Each of the guests must have a ticket to be allowed in. Children under 10 are not invited. Please note that each guest is subject to the health and safety requirements in place at the time of the event. 

Students must collect IN PERSON the commencement invitation tickets from the Office of the Registrar, after completing the Graduating Student Survey (to be sent to AUS/alumni email before tickets collection dates). 

Tickets will be distributed from Tuesday, June 4, 2024 to Thursday, June 6, 2024 from the Office of the Registrar on the following schedule: Tuesday and Wednesday: from 9:00 a.m. to 4:00 p.m. (lunch break 1:00–2:00 p.m.); on Thursday from 12:00 noon (after the commencement rehearsal) to 4:00 p.m. The AUS student/alumni ID card or UAE ID must be presented for collection. 

The deadline to collect commencement invitations and tickets is on June 6, 2024 at 4:00 p.m. No tickets will be distributed after that date and time.

Dress Code

The dress code for the ceremony is traditional graduation regalia (gown, stole/hood and cap). Place your order for your regalia as soon as possible after you have been informed to do so by email. Please note that delivery of the regalia may take up to 10 weeks. Information regarding how to order your regalia can be found here.

Commencement Rehearsal

Commencement rehearsal will take place on Thursday, June 6, 2024 at 10:00 a.m. at the University City Hall. Students must attend the rehearsal if they are attending the commencement ceremony. Buses to and from the AUS campus to University City Hall will be provided.

 

 

General Guidelines

Eligibility to Participate

To participate in the commencement, students must:

  • submit a completed Application for Graduation by the date stated in the Deadlines and Dates section above (a link to the form will be sent by the Office of the Registrar to the student's official AUS email) 
  • register for their final courses/internship/thesis/project/dissertation in what they expect to be their final semester of study
  • have not walked or qualified to walk in a preceding commencement

Note: All graduating students who are registered in their final courses up until the end of the withdrawal period (13th week of classes) of their graduation semester are eligible to walk in the commencement of their graduation semester even if they do not pass their final courses. Nevertheless, meeting all your degree graduation requirements is a must to earn your university diploma.

 

 

Attestation Certificate

The attestation certificate is a certificate issued by the Office of the Registrar to confirm graduation. It can be attested by the UAE Ministry of Higher Education (MOE). The attestation certificate can be used for higher education admission and job searches.

 

Attesting the AUS Attestation Certificate

Starting with students graduating in Summer 2023,  AUS will be implementing an automated degree attestation process.

To avail this service, you must do the following:

  • clear all holds that prevent the release of your attestation certificate/diploma
  • pay the AED 100 Ministry of Education charge (AED 50 for transcript and AED 50 for the attestation certificate) 

Once your certificate has been attested, you will receive an email from MOE with the attested transcript and attestation certificate attached.

Getting More Attestation Certificates

You may request for more than one copy of the attestation certificate and in either English or Arabic at a minimum fee. To do so, please complete the Attestation Certificate Request Form, pay the required fee at the Cashier, and submit the form to the Office of the Registrar. Diplomas

Stated on your diploma are:

 

  • degree (i.e., BA, BS, MBA, MS, MUP, PhD)
  • major and option, if applicable
  • date of graduation
  • honors, if applicable
Honors Policy (Baccalaureate Students)

Latin honors are calculated based on your cumulative GPA at the end of the semester preceding your commencement.

Honors are granted to those undergraduate students achieving the following academic GPA:

  • Summa Cum Laude (GPA 3.9–4.0) 
  • Magna Cum Laude (GPA 3.7–3.89) 
  • Cum Laude (GPA 3.5–3.69)

Diploma Distribution

Graduates will receive a decorative leather diploma folder during the commencement ceremony. The folder you receive during commencement will be empty. You will be informed through your AUS email when diploma/certificates are ready for collection. All holds on a student record should be cleared before the diploma can be collected.

Diploma Replacement

If the original diploma is lost or misplaced, a replacement can be issued once a police report is presented and submitted with the Replacement of Diploma Request Form to the Office of the Registrar.

In the event the original diploma is damaged, the Replacement of Diploma Request Form needs to be submitted to the Office of the Registrar with the damaged diploma attached.

A fee of AED 250 must be paid for the replacement. In addition, another smart chip fee needs to be paid on top of the replacement fee for students who graduated from Fall 2007 onwards.

Regalia and Rings

Information on ordering graduation regalia and rings is listed below.

 

Regalia

Students who wish to purchase the AUS graduation regalia may do so from Schools Solutions International (SSI). SSI has the option to ship the official AUS regalia to a student's home country (additional charges may apply). An email with ordering information will be sent to all graduating students. Information on pricing and delivery is provided below.

Rings

The graduation ring allows you to distinguish yourself as a proud AUS graduate. The ring is optional and is available to both bachelor's, master's and PhD graduates.

The ring comes in a standard design especially made for AUS graduates. It is made of white lustrium (a chrome-nickel alloy) with an oval synthetic gemstone and the name of the university around it. On one side of the ring band are the AUS seal and year of your class (i.e., your graduation year). On the other side are your degree letters (i.e., bachelor of arts or bachelor of science, etc.) and the initials of your school. In addition, you can have an engraving on the inside of the ring band.

The synthetic gemstone comes in 12 colors, each in three stone cuts. 

Students who wish to purchase the graduation ring only may do so using the regalia ordering link included in the email with ordering information that was sent to all graduating students.

How to Order and Pay

Students can purchase their graduation regalia directly through the School Solutions International (SSI) Company. SSI has the option to ship the official AUS regalia to a student's home country (additional charges may apply). An email with ordering information will be sent to all graduating students.

Payments (cash/credit card) will be made directly to SSI as directed when you place the order.

SSI only offers regalia for purchase. Renting these items from SSI is not an option.

Students who wish to purchase the graduation ring only may do so using the regalia ordering link included in the email with ordering information that will be sent to all graduating students.
